7 things to check before you book your wedding venue
The questions that don't come up on a venue tour but decide how your wedding day actually runs.
Quick answer
Before you sign, ask about:
- 1.The soft hold policy and how long it lasts
- 2.Fees that aren't in the quote
- 3.Bathrooms: how many, and where
- 4.Backup space for rain or heat
- 5.Required vendors and vendor rules
- 6.Load-in and load-out times
- 7.The light at your ceremony hour
1. Soft hold policy and how long it lasts
Many venues will hold a date for a few days without a deposit. Ask how long, and what happens if another couple wants the same date. Some venues give you 24 hours to decide when that happens. Knowing this keeps you from being rushed into a contract.
2. Fees that aren't in the quote
The site fee is rarely the whole cost. Ask for a full list: service charges, security, cleaning, cake cutting, corkage, overtime, required insurance and any minimum spend on food and drink. Ask whether the service charge is a gratuity or a fee the staff never see.
3. Bathrooms: how many, and where
It sounds unglamorous, but it shapes the whole night. Count them, check where they are relative to the reception, and ask whether they're shared with the public. If there aren't enough, you'll need to budget for rentals.
4. Backup space for rain or heat
Ask to see the backup space, not just hear about it. Is it a real room, or a tent you pay extra for? When does the venue decide to move indoors? A backup plan you'd be happy with is worth more than a perfect lawn.
5. Required vendors and vendor rules
Some venues require their own caterer, a list of approved vendors, or specific rental companies. Others ban open flames, confetti or amplified music after a certain hour. These rules can quietly rule out the vendors and details you were most excited about, so ask before you fall for the room.
6. Load-in and load-out times
Your florist, rentals and lighting all need time to set up. Ask when vendors can arrive and when everything must be gone. A tight window can mean extra labor costs or a simpler design, and a late-night load-out can mean a second rental day.
7. The light at your ceremony hour
Visit at the time of day your ceremony will happen, ideally in the same season. Where does the sun sit? Is anyone squinting? Is the room dark by the first dance? Light changes how everything looks in your photos, from the flowers to your dress.
Bring this list to every tour
Save this checklist and bring it with you. The venue that answers all seven clearly is usually the one that will be easiest to work with on the day.
